KEY RESPONSIBILITIES:
  • The role works a Monday to Friday schedule, with some flexibility required, in the event of breaking news outside office hours and at weekends.
  • Facilitating visa applications for news staff and freelancers with embassies and consulates across the Asia-Pacific region.
  • Booking flights and accommodation for news staff and freelancers travelling for international deployments.
  • Booking freelance staff (correspondents/camera operators+editors), local fixers/producers, local drivers, car hire, as needed, for local or international deployments.
  • Managing last-minute changes to travel requirements, especially in the event of breaking news.
  • Drawing up budgets for local and international deployments, sending to and liaising with management for approval, coordinating with the finance dept to ensure timely preparation and delivery of cash advances.
  • Organise media accreditation for events, conferences etc when needed.
  • Handling and processing incoming invoices from freelancers.
  • Maintaining staffing roster for all Asia-Pacific members of staff and freelancers. This includes keeping track of leave requests, days off earned in lieu and sick days.
  • Keeping an accurate record of why freelancers are booked for justification to the finance dept. Compiling monthly freelance budgets to the satisfaction of the Executive Producer - News and Finance.
  • Flagging to management when there are leave request clashes. Monitor that all staff are taking leave and days off in lieu and not building up a huge back-log.
  • Liaising with HR and IT for the set-up of new hires and freelancers.
  • Using a range of office software, including email, spreadsheets and databases.
  • General Office duties.
SKILLS, EXPERIENCE AND REQUIREMENTS:
  • Fluent English, spoken and written.
  •  At least five years of experience in a similar role for an international news organisation:;
  • Excellent organisational skills and ability to deal with a number of competing requirements at the same time, prioritising on a daily basis.
  • Pro-active, confident, enthusiastic individual with excellent interpersonal skills.
  • Previous experience in a busy administrative role and ability to liaise with senior management.
  • Experience keeping meticulous records.
  • Attention to detail.
  • Experience in staff scheduling.
  • Experience in record keeping.
  • Ability to work under pressure and to a deadline.
  • A self-starter who works effectively alone or as part of a team.
  • Excellent MS Office skills, including email, spreadsheets and databases.
  • General Office duties.
  • Exceptionally self-motivated, self-driven, focused individual.
  • Professional and discreet.
  • Ability to quickly understand the dynamics of the media business.
  • Interested in world news and current affairs, with focus on the Asia Pacific region.
